Exhibitor Arrival & Safety Procedure

As part of Informa Markets’ enhanced health and safety protocol, all attendees and exhibitors will be required to show proof of vaccination and a photo ID to enter the event, and masks will be required in all areas of the Convention Center.

When you first arrive at the San Jose McEnery Convention Center, please enter through the main entrance on San Carlos St. to verify vaccination and receive a wristband. Exhibitors may also verify vaccination and receive a wristband at the rear loading dock during the designated move-in period (please see schedule below).

You will need to wear your wristband to access the Convention Center for the duration of the event.

Please review the Convention Center Floor Plan map for all the entrance locations eligible for vaccine verification.

For exhibitors planning to use the parking lot below the Expo Hall, please note that the elevators will not be operational during the event. You will need to exit through the garage and use the main entrance on San Carlos St.

Badge Pick-Up

After receiving your wristband, please visit the registration area, located in the Concourse Lobby to pick up your exhibitor badge.

Once you have both your badge and wristband, you may access the event from:

  • Main Entrance
  • West Parkway (from Hilton)
  • East Parkway (from Marriott)

Be prepared to show your wristband to the security personal posted at each entrance.

Regarding Masking and Vaccinations

We are committed to creating an event where our community, partners, staff and local workforce can have an enjoyable and successful experience, conduct business effectively and do all of this in safety and comfort.

Please take a note of some new requirements and efforts we’ve made to ensure this. We will continue to update these as needed based on any changing requirements.

As of September 20, 2021, the City of San Jose requires proof of Covid-19 vaccination* prior to entering the facility.

Attendees must provide proof of full vaccination; valid forms of proof include one of the following: 

  • A CDC vaccination card or similar documentation issued by another foreign governmental jurisdiction.
  • A photo of a vaccination card as a separate document or stored on a phone or electronic device.
  • Documentation of vaccination from a healthcare provider.
  • A personal digital COVID-19 vaccine record with a QR code that scans to display name, date of birth, vaccine dates and vaccine type. 
  • A visual in-person check of vaccination proof on site will be performed by a secure third-party and contact tracing information will be collected during the registration process.

Additionally, while inside the San Jose Convention and Exhibition Center, you will be required to wear a mask at all times. This includes all exhibit halls, conference areas and public lobbies and restrooms.

The health and safety of our customers and staff remain our #1 priority. Our event has been organized in accordance with the CDC’s guidelines, Informa’s AllSecure Health and Safety standards and other local state and city regulations.

*Medical and religious exemptions are allowed. Medical exemptions must be in writing, include the person’s name, and be signed by a medical professional. Religious exemptions must also be in writing with the person’s name. In order to be admitted to an event with a medical or religious exemption, a person must also have a negative COVID-19 test result within 72 hours of the event.

FAQ

  1. Will I need to wear a mask at the event?
    Yes, mask wearing is now a requirement for all indoor events apart from when actively eating or drinking. This includes all areas of the convention center including exhibit halls, public lobbies, meeting rooms and restrooms regardless of vaccination status. We will have masks readily available throughout the event and at badge pick up. All Informa staff will be wearing masks and contact areas such as badge pick up will include individual plexi-glass stations.

  2. I’m a speaker will I need to wear a mask during my presentation?
    Speakers who are giving solo presentations will not need to wear a mask once at the podium. All our Audio-visual equipment including microphones will be fully sanitized between uses.

  3. I’m speaking in a panel will I need to wear a mask?
    Should we have enough space panel chairs will be distanced and therefore a mask will not need to be worn, however where distancing on stage is not possible due to stage size– you will need to continue to wear a mask during the panel – your Informa room monitor will let you know if a mask will need to be worn during your panel.

  4. I’m an exhibitor will I need to wear a mask in the exhibit hall?
    Yes, masks must be worn indoors at all times, regardless of vaccination status, unless actively eating or drinking. Masks are readily available at the badge pick up area.

  5. Will I need to show proof of vaccination or a negative test before entering the event?
    Yes, the City of San Jose requires you to show your proof of double or full vaccination. A negative test is no longer sufficient to gain entry into the venue.

  6. Does it need to be a specific type of Covid test?
    Unfortunately, proof of a negative test is not sufficient to gain entry into the building. Only fully vaccinated individuals will be allowed into the event.

  7. How will I show my proof of vaccination and what proof will be accepted?
    Your privacy matters to us. A secure, third-party will be making a visual in-person check of vaccination proof upon arrival into the facility and no health records will be stored. We will need to see your ID and then match the ID to your proof of vaccination. Proof can be the vaccination card, a photo or photocopy of the vaccination card, or a letter from a doctor confirming vaccination has taken place. This must include your full name and the date of either the 2nd vaccination or the single shot vaccination (if applicable) these must have been given before November 23, 2021.

  8. How often will proof of vaccination need to be verified to enter the event?
    Only once. Upon your first time entering the event a secure third-party will verify your proof of vaccination. Once verified, you will receive a wristband. This wristband will be your “fast track” to re-enter the event without having to re-verify your vaccination status.

  9. I’m here as a contractor to set up a booth will I need to show proof of vaccination, or wear a mask?
    Yes, all contractors will need to check in and collect a wristband before accessing the exhibit hall. At the check-in desk they will need to show staff a proof of vaccination. All contractors will need to wear a mask inside the venue and exhibit hall regardless of vaccination status.

  10. Will you accept proof of vaccinations which have had mixed doses from different vaccine providers?
    Yes, as long as the 2nd vaccination was given prior to November 23, 2021.

  11. I have recently recovered from a recent Covid-19 infection can I use this as proof of entry?
    Unfortunately, only fully vaccinated individuals will be allowed to enter the building at this time.

  12. What if I don’t have my proof of vaccination or negative test with me?
    Unfortunately, only fully vaccinated individuals, with proof, will be permitted to enter the building at this time.

  13. Will there be increased cleaning and hand sanitation available?
    Yes! The San Jose Convention Center is among the safest venues in the country, featuring Global Biorisk Advisory Council (GBAC) STAR™ (GBAC) STAR accreditation which is a gold standard among facilities and demonstrates their commitment to the highest standards in cleaning and sanitization. The GBAC designation makes the San Jose McEnery Convention Center accredited in outbreak and infectious diseases preparation and response. The entire venue will be deep cleaned, before, during and after event days. Additionally, all public areas and lobbies will be disinfected with Electrostatic Sprayers daily. Increased hand sanitation points can be found throughout the venue and at food stations. We also have individual hand sanitizers available at badge pick up desks and antibacterial wipes available inside the conference rooms.

  14. Will the event be socially distanced?
    We have ensured 3’ distancing in all our meeting space and educational theaters on the show floor. Floor markers will allow for social distancing in high traffic areas such as registration.

  15. How will Food and beverages be served safely?
    Food options will either be pre-packaged in compostable packaging that can be safely recycled after the event, or food stations will have food and drinks served by staff wearing PPE.

  16. Do I need to be worried about paper handouts or increased touch points at the event?
    This year we have minimized paper handouts. The show directory is only available digitally via the event app. Additionally, we encourage exhibitors to provide digital materials from their booths that can be downloaded using QR codes or via app.

  17. How will mandates be enforced?
    We will have Safety Ambassadors throughout the building who will be responsible for ensuring adherence to health and safety protocols. Our goal is to help you grow your business safely.
